Sending the Booking to UPS
Booking a UPS shipment from the order record removes the retyping that causes most shipping errors. Weight, service, shipper and consignee details go across together, and UPS returns the tracking number, which is what the shipping label is built from. A label that does not match the parcel weight is the single most common cause of a surcharge.
When a Booking Has to Come Down
Orders get cancelled, addresses get corrected and pickups do not always happen. The booking can be voided or cancelled from the same record, so the carrier and your system stay in agreement, and the reference for the cancellation is kept alongside the order for whoever has to explain it later.
UPS Tracking API
UPS pushes scan data that Softpal stores against the shipment. Customers see the current status, and when they call, the person answering already has the same history on screen. That is the part of shipping automation that saves the most time, because tracking questions outnumber everything else in most support queues.
Choosing a Polling Interval
Where UPS does not push an update, the status is fetched again after a fixed interval. That is simple to set up, but a short interval multiplied across thousands of open shipments is a lot of calls returning very little new information. We set the frequency around your daily volume rather than picking the most aggressive option available.
Built Around Your UPS Accounts
Every UPS account is configured with its own rates, service levels, pickup address and credentials, so a negotiated contract applies only to the shipments it was negotiated for. Automated UPS shipping labels and the label formats your printers support are set up at the same time.
The Dispatch Queue
Pickup requests, manifests and multi-piece shipments sit in the same view as the order they belong to. When a consignment needs manual handling, a declared value or an odd dimension for instance, it can still be booked by hand, and service availability can be checked before choosing between UPS and another carrier.
Rate Fetch Timing
The fetch rate decides how often Softpal asks UPS for rates and status. Every five minutes is reasonable for a busy store; hourly is enough when orders ship in batches. Requests can also be triggered by an event, a new order or a status change, which is usually cheaper than polling on a timer.
Requesting a UPS Pickup
Once a day's parcels are labelled, the pickup can be requested through the UPS API instead of phoned in. The request carries the ready consignments and the collection address, and it stays attached to those shipments, so there is no doubt about what was included.
Delivery Estimates
UPS returns an estimated delivery date once the shipment has been accepted, not at the point a label is printed. The estimate reflects the service chosen, the distance, UPS routing and the time the order took to process, so it settles after collection rather than before.
Cross-Border Shipments
UPS handles cross-border shipments as part of the same account, including the export documentation and customs brokerage needed for the destination country. Ground, air and worldwide services are quoted through the same interface, so a retailer can offer an international option at checkout without a second carrier relationship.
Reconciling UPS Invoices
UPS charges recorded in accounts payable are matched against UPS statements, transaction by transaction. Pulling the charges in through the API rather than retyping them from a PDF is what makes fuel surcharges, residential address fees and weight corrections visible early enough to query.
More Than One UPS Account
UPS accounts can run in parallel, with the right account chosen by rule instead of by memory. Weight slabs are common, one account for parcels under 5 kg and another above, and accounts can also be split by region with a default account for everything that matches no rule.
